Using Project Templates: Podcast Episode Production
Apply the built-in Podcast Episode Production template to lay out a full 6-stage workflow for any new episode.
Instead of building your episode workflow from scratch every time, apply a template. Northflow comes with a Podcast Episode Production (Guest Show) template that lays out a full production workflow with 6 stages and 22 tasks, ready to go the moment you create a new project.
Before you start
Create a project (episode) first, then apply the template to it. If you're not sure how projects relate to the Space they live in, see Projects vs. Spaces: What's the Difference? Once applied, every task's start and due date is calculated automatically around the project's publish date.
Applying a template
Create or open the project you want to build out.
Choose Apply Template, then select Podcast Episode Production (Guest Show).
Set your publish date. Every task's dates are calculated relative to it, prep tasks start as early as 30 days before publish, and wrap-up tasks extend up to 33 days after.
What's included
The template is organized into 6 sequential stages:
Guest Sourcing & Booking — define your episode's angle, research and shortlist guests, send outreach, and confirm the recording date.
Pre-Production — send the guest a prep kit, develop interview questions, prepare your recording setup, and draft your show notes.
Recording — a short pre-recording check-in, then the recording itself.
Post-Production — edit audio and video, create social clips and audiograms, finalize show notes and SEO, and run an internal quality review.
Publishing & Distribution — upload to your podcast host, publish to YouTube, launch your social campaign, and send the guest their share kit.
Performance & Wrap-Up — monitor early performance, compile a report, and archive your assets.
The template includes a Producer role to oversee the whole timeline, guest communication, and approvals across these stages.
Once you have a recording from any of these stages, you can hand it to the Project Manager agent to generate a blog, newsletter, and show notes from it in parallel, separately from the human Producer role above.
Tips built into the template
Record host and guest audio on separate tracks for cleaner editing.
Send the guest's prep kit at least 10 days out, better prepared guests make better interviews.
Keep 2–3 episodes moving through the pipeline at once so there are no gaps in your schedule.
Take timestamped notes during recording to speed up editing later.
A guest who actively shares their episode can meaningfully boost your downloads, make their share kit easy to use.
